OCLC Authorities Format Tag Chart Now Available

OCLC has made available a new quick reference guide for catalogers, the OCLC Authorities Format Tag Chart. A PDF version of this new guide to the fields (and their valid subfields) used in authority records is available.

Changes to CatExpress/WorldCat Activity Reports

OCLC CatExpress subscribers who also have contracted for the OCLC WorldCat Cataloging Partners (WCCP) service, will notice a change in their monthly CatExpress activity reports.

The CatExpress reports have been redesigned to show activity under both services. If a library subscribes to both, it will see one line for each service on its monthly CatExpress report, one line labeled with a CatExpress product code and another with a WCCP code for WorldCat Cataloging Partners. The total activity line will be immediately below these.

If a library's activity is entirely CatExpress or Cataloging Partners, only one line for the appropriate product code will be listed.

For administrators of CatExpress groups, your CatExpress group activity report will also report activity under both services, as applicable, for any library in your group utilizing both CatExpress and Cataloging Partners.

Wilson Expands Art Museum Image Gallery

The H.W. Wilson Company has just announced the addition of some 62,000 images to its acclaimed Art Museum Image Gallery database, a popular art image reference source on the WilsonWeb database service. Drawn from more than 1,800 sources, the new images include material from among the world's most respected museums: Muse du Louvre, Paris; Museum der Stadt, Vienna; Bibliothque des Arts Dcoratifs, Paris; Muse du Chteau de Versailles; Museo del Prado, Madrid; National Anthropological Museum, Mexico; British Museum; Archaeological Museum, Istanbul; Archaeological Museum, Lima; Hermitage Museum, Saint Petersburg; Bardo Museum, Tunis; and others. Full bibliographic records accompany every image, and all images are rights-cleared for educational use.

Acquired through The Art Archive of the Picture Desk, Inc. (a leading art, civilization and history image library), the new images build on Art Museum Image Gallery's coverage of ancient civilizations, American and European history, Medieval history, world religions and icons from the history of art and architecture. FirstSearch OPAC Linking by OCLC Number Alert

If your library's OCLC numbers are indexed in your OPAC with the ocm prefix, please read this important information.

OCLC numbers are growing and soon will reach nine digits. (See OCLC Technical Bulletin 253 - ISBN and OCLC Number Changes.) OCLC will start exporting records with a prefix that changes depending on OCLC number size. An OCLC number with one-to-eight digits will have a prefix of ocm, and a nine-digit OCLC number will have a prefix of ocn.

If a library is indexing the OCLC number with the prefix exported by OCLC and has set up FirstSearch for deep linking by OCLC number, the library will need to update the administrative module for a new option to handle this type of indexing with deep linking.

To correctly update the admin module, select the appropriate radio button on the Administrative Module Linking>Web Library Catalogs screen to describe how OCLC numbers are indexed in your library. The options are:

  • Do not add prefix to the OCLC Number — Your library catalogs the OCLC number with no prefix. Note: This is the default value.
  • Add ocn/ocm prefix based on OCLC Number — Your library includes the prefix OCLC exports with the OCLC number in the indexing of the OCLC number. For all OCLC numbers 1 to 99,999,999, the prefix exported is ocm. For OCLC numbers from 100,000,000 or greater, the prefix exported is ocn. Selecting this radio button tells OCLC to add the correct prefix to the OCLC number based on the size of the OCLC number. Note: If set up earlier, the URL may have ocm at the end of the URL. This will now need to be removed.
  • Add the following custom prefix to all OCLC Numbers — Your library adds the same consistent prefix in front of the OCLC number. For constant custom prefixes, supply the appropriate prefix in the text box. Note: If the library cataloged this way before this option existed, the prefix may be at the end of the URL. This will continue to work as before. Selecting the new radio button makes this choice more visible and clear.

Until you start seeing the new OCLC numbers, you will not have a problem using the current indexing method. At that time, if you currently index with ocm, you may need to make the change.

Free WorldCat Promotional Materials Available

Do your users know they can Find in a Library from major Web search engines, WorldCat.org and the freely distributed WorldCat search box? They can — when your library uses the free promotional materials available on the OCLC Web site at www.oclc.org/worldcat/promote/.

Newly added to materials for public library users of WorldCat are eight toolkits focused on common subjects of WorldCat research:

  • Genealogy
  • Cooking and nutrition
  • Music
  • Gardening and landscaping
  • Real estate
  • Resources for people with disabilities
  • Languages
  • Current events

Each toolkit includes several themed print pieces — a flyer, shelf hangers and bookmarks — that you can distribute throughout your library. The kits also contain a short article you can customize and place on your library's Web site or in your print or e-mail newsletters. Each piece gives your users ideas and instruction on locating resources in WorldCat.

Also available are a variety of updated print pieces and other tools that explain how your library's content and services can be discovered on the open Web through sites such as Google, Yahoo! and WorldCat.org. These materials, some of which are customizable, are geared to the different audiences to whom you must communicate value:

WorldCat Resource Sharing Enhancements

OCLC recently completed installation of a number of enhancements to WorldCat Resource Sharing. They include:

Search Box on all Request Manager Screens — Users now have an improvement to their workflow with the addition of the Search Box to additional places in the Request Manger. The search box now also appears at the top of a complete category of requests and when an action has been completed.

Additional LHR data on lender printouts — Lenders that have loaded their local holding information also will experience improved workflow. They now can see complete LHR data on screen and their full-request printouts in WorldCat Resource Sharing. These fields will only appear in WorldCat Resource Sharing for now. OCLC is working to add this improvement to ILLiad.

Electronic Delivery address on work forms — Users of WorldCat Resource Sharing and ILLiad now have an appropriate field in which they can note their electronic delivery addresses for Odyssey, Ariel FTP and Ariel e-mail. On staff work forms users have to manually type their electronic delivery address.

In the coming two-to-four months, these fields will be added to Constant Data, allowing users to further automate the process of using electronic delivery fields.

Several ILLiad beta sites had this functionality available in mid-October, and all users of ILLiad 7.2 will have these additional fields when it’s fully released in December.

OCLC Connexion Enhancements for November

OCLC completed installation of several Connexion enhancements on November 12. Complete details about the changes that impact the Connexion browser, Connexion client 1.60, CatExpress and WebDewey interfaces can be found on the OCLC Web site at www.oclc.org/connexion/interface/browser/enhancements/.

The following is a brief overview.

  • ISBN-13 is now fully supported by OCLC for both the Connexion browser and Connexion client 1.60. Also, in order to accommodate the ongoing growth of the WorldCat database, OCLC is changing the format of the 001 in OCLC MARC bibliographic records starting with OCLC record number 100 million to the new 9-digit numbering system. Starting with OCLC record number 100000000, the prefix will be ocn, the number will be 9 digits in length, and there will be no trailing space.
  • Other changes impacting the Connexion browser include:
    • Enhancements to metadata extraction and creation.
    • Changes in bibliographic format for metadata extracted from files in an .htm or .html format.
    • "Standardized" notes and 007 field automatically supplied for records created via metadata extraction.
    • Guided entry for fields 541 and 583 for archival materials.
    • Authority history for LC Names and Subjects.
    • Changes to controlling headings, and more.

  • Changes to the Connexion client 1.60 are automatically available to the user. Until the implementation of Client 1.70, records exported from Connexion client 1.60 do not include the OCLC control number in the 035 field. A short list of changes includes:
    • The ability to extract metadata for MP3 files.
    • The requirement to use the same double dagger subfield delimiter in the Control Headings window as is used in records and other windows in client.
    • Full mode users now can control more headings in bibliographic records.
    • Problems in the process of controlling headings have been resolved.

  • Among other enhancements, CatExpress users will find changes to the French interface, the ability to choose fields to delete from bibliographic records that are expired from CatExpress and the inclusion of the 035 field in records being exported.

WebDewey and Abridged WebDewey are updated quarterly. Both services contain the latest version of the schedules, tables, Manual and Relative Index entries from their respective enhanced DDC databases. This release consists of updates to the DDC 22 and Abridged 14 databases in WebDewey and Abridged WebDewey respectively and include the latest changes to the DDC. Some of the enhancements in this release impacting both WebDewey and Abridged WebDewey users include:

  • Updates to Dewey Decimal Classification, Edition 22, through September 2006.
  • Library of Congress Subject Headings have been statistically mapped to Dewey numbers from records in WorldCat and intellectually mapped by DDC editors.
  • Links from mapped LCSH to the LCSH authority records.
  • Selected mappings from Medical Subject Headings (MeSH), and more.

The next Dewey Services quarterly release is scheduled for February, 2007.

Changes Made to ERIC Database at OCLC

Changes to the ERIC database, a result of changes in the data provided to OCLC by the ERIC producers, will be available December 10. Various new fields have been added, while other fields have been discontinued. The new fields apply to new records.

ERIC introduced the peer reviewed field in 2005 for journal articles published 2004 onward. Fields that have been discontinued may remain on legacy records, but they will not be on new records. A list of the complete changes is scheduled to be sent to the Z39.50 listserv on November 9. The revised Z39.50 documentation also will be available November 9 at www.oclc.org/support/documentation/firstsearch/z3950/z3950_databases/default.htm.

Some of the changes are listed below:

  • Peer-reviewed indicator. This field indicates if a journal is peer-reviewed. It can be searched as an index in the Expert search or used as a limiter.
  • Education level identifies the specific education community for which the resource is intended. This field can be searched.
  • Reference count is the number of references in an article.
  • Major and minor descriptors and major and minor identifiers are no longer distinguished on new records.

ERIC provides access to more than 1.1 million bibliographic records for education-related journals and nonjournal literature. ERIC links to free full-text for more than 100,000 items. Contact BCR's Karen Graham (kgraham@bcr.org) for more information.

Comments Invited on Proposed Amendment to FRBR

The first amendment to the Functional Requirements for Bibliographic Records (FRBR) is now available for comment at www.ifla.org/VII/s13/wgfrbr/expression-invitation.htm.

The FRBR final report was published by the International Federation of Library Associations and Institutions (IFLA) in 1998. The IFLA Cataloguing Section established the FRBR Review Group to enhance and revise FRBR as necessary. The Review Group's Working Group on the Expression Entity has prepared this first amendment to FRBR, specifically to section 3.2.2, concerning the definition of the group 1 entity "expression."

Carroll Publishing Government Databases Available from BCR

BCR is now offering two government-related resources from Carroll Publishing, the nation's largest and most reliable source for government contacts and organization charts. Libraries can now obtain subscriptions — at BCR discounted prices — to GovSearch and GovSearchSuite.

GovSearch — A basic, Web-based database of government people, programs and places. The service provides contact information and organization charts for federal, state, and municipal government executives and civilian program information. A supplemental database of other government facilities is included at no additional charge.

GovSearchSuite — Provides the entire content of U.S. government decision-maker contact data files and organization chart services in one seamless, easy-to-use service. It encompasses the entire content of Carroll's GovSearch (Federal, State, Municipal, County), FedSearch (Federal and Department of Defense) and MilSearch (Federal, Department of Defense and Defense Industry) products.

A free trial of GovSearchSuite is available to BCR libraries through December 31. Enhancements Added to WorldCat Resource Sharing

A number of enhancements were added to WorldCat Resource Sharing over the past weekend. See them listed below.

Search Box on all Request Manager Screens
Users will have an improvement to their workflow as the Search Box is available in additional places in the Request Manger. Currently the ability to search for requests appears only on the Request Manager landing page. As of November 5, the search box also appears at the top of a complete category of requests and when an action has been completed.

Additional LHR data on lender printouts
Lenders that have loaded their local holding information will have a workflow improvement and see complete LHR data on screen and their full-request printouts in WorldCat Resource Sharing.

Currently, WorldCat Resource Sharing uses the Call Number field in WorldCat Resource Sharing to display information put in the summary field of the local holdings record (LHR). With this enhancement, more complete LHR information will appear in appropriate fields.

These fields will only appear in WorldCat Resource Sharing for now. OCLC is working to get this into ILLiad, but additional development will be required.

Electronic Delivery address on work forms

All BCR/NetLibrary Shared Electronic Book Collections Reopened

BCR, in partnership with OCLC and NetLibrary, invites libraries to take advantage of the reopening of all BCR NetLibrary eBooks Shared Collections. Libraries have an opportunity to select from shared collections containing titles that are appropriate for academic, community college and public library users. This offer expires December 31.

Libraries will pay a one-time fee per collection purchased. As an incentive, purchase one collection and receive a 10 percent discount. Libraries may save up to 35 percent by purchasing multiple collections.

The reopened collections include:

    • BCR Shared I with 7,290 titles
    • BCR Shared II with 1,605 titles
    • BCR Shared III with 1,459 titles
    • BCR Ready Reference I with 3,451 titles
    • BCR Ready Reference II with 1,269 titles
    • BCR Community College with 1,473 titles

ILL Analysis Component Added to WorldCat Collection Analysis

On Sunday November 5, OCLC is adding an ILL analysis component to WorldCat Collection Analysis. This enhancement uses WorldCat Resource Sharing data and is available (at no additional cost) for individual subscribers of the WorldCat Collection Analysis service. The ILL analysis will also include ILLiad transactions that go through WorldCat Resource Sharing. The new ILL analysis component gives a library the ability to:

  • Compare borrowing requests over time to identify acquisition priorities.
  • Compare borrowing requests based on age, subject, serial and nonserial items.
  • Analyze what your library borrows, items that supplement your collection.
  • Analyze the items your library is lending, which reveals how your collection is used.

ILL usage data will complement the suite of comparison and evaluation options already existing in WorldCat Collection Analysis. Want to learn more? and watch for information about upcoming OCLC Web seminars.

OCLC Z39.50 Cataloging and OCLC Number Expansion

OCLC plans to install the changes for the OCLC Number Expansion on November 12. Beginning on that date, OCLC Z39.50 Cataloging records will contain the OCLC number in the 035 field as well as the 001 field. Also, beginning November 12, uncoded positions in 007 fields will result in fill characters.

The Z39.50 Cataloging Extended Service Definition will be revised in November and will be prepared to handle the nine-digit OCLC numbers with the ocn prefix. Local system vendors have been notified of these changes related to OCLC Number Expansion. Users of Z39.50 cataloging clients should not need to make any changes to them in order to continue to set holdings as they have done in the past.
